Last updated: 1 January 2026

MJ3 Property Management ("we", "us", "our") is based in the North West of England and is the data controller for personal data collected through mj3properties.com. This policy explains what we collect, why, how long we keep it, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Data we collect

Information you give us. When you complete our enquiry form, email us or call us, we may collect your name, email address, telephone number, property postcode, property details (bedrooms, type, current letting situation), your role (owner, landlord, agent), how you heard about us, your contact preferences and anything else you choose to include in your message.

Information collected automatically. Basic technical data such as IP address, browser type, device type, pages visited and referring source, gathered through our hosting provider and any analytics tools we use.

Client data. If you become a client, we also process information needed to manage your property, such as address details, bank details for payouts, compliance certificates and correspondence.

2. How and why we use your data

  • To respond to your enquiry and prepare a rental estimate or quote.
  • To provide and administer our property management services.
  • To send you statements, invoices and service communications.
  • To meet legal, tax, safety and accounting obligations.
  • To improve our website and understand how visitors use it.
  • To send occasional marketing about our services, where you have consented or where we have a legitimate interest and you have not opted out.

3. Lawful bases for processing

We rely on consent (for example, marketing emails and non-essential cookies), contract (to deliver services you have engaged us for), legal obligation (tax, safety and record-keeping duties) and legitimate interests (responding to enquiries, protecting our business and improving our service). You may withdraw consent at any time.

4. Data retention

Enquiries that do not become clients are kept for up to 24 months. Client records are kept for the duration of our agreement and then for a minimum of six years to comply with tax and accounting requirements. Website analytics data is retained for up to 26 months. We delete or anonymise data once it is no longer needed.

5. Cookies

Our website uses essential cookies required for the site to function. We may also use analytics cookies to understand how the site is used. Non-essential cookies are only set where permitted. You can block or delete cookies through your browser settings; essential cookies cannot be disabled without affecting site functionality.

6. Third-party tools and sharing

We may share data with service providers who help us operate, such as website hosting and form providers, email and communication tools, analytics providers, accounting software, payment processors, booking platforms (including Airbnb, Booking.com and Vrbo where relevant to a managed property), cleaning and maintenance contractors, and our professional advisers.

These providers only process data on our instructions. We may also disclose data where required by law or to protect our legal rights. We never sell your personal data. Where data is transferred outside the UK, we ensure appropriate safeguards such as UK adequacy regulations or standard contractual clauses are in place.

7. Data security

We use appropriate technical and organisational measures — including access controls, encrypted connections and restricted staff access — to protect personal data against loss, misuse and unauthorised access. No transmission over the internet can be guaranteed as fully secure.
